1. Who we are

Billex is an invoicing tool for UK sole traders and freelancers. This policy explains what personal data we collect, why, and what rights you have over it. If you have questions, contact us at nexorasalessupport@gmail.com.

2. What we collect

Depending on how you use Billex, we hold:

Account details: your name, email address, and a securely hashed password (we never store your password in plain text). Business details: trading name, address, VAT/UTR/company/licence numbers, and bank details you choose to add, used to populate the invoices and quotes you create. Customer records: the names, contact details, and addresses of your own clients, which you enter to invoice them. Invoice, quote, and expense content: line items, amounts, notes, and any files you attach. Payment information: if you subscribe to a paid plan, our payment processor (Stripe) handles your card details directly — we never see or store your full card number.

3. How we use it

To provide the service you've signed up for: generating and sending your invoices and quotes (on your behalf, to your customers), calculating your tax estimate, processing your subscription payment, sending you account and reminder emails, and responding when you contact support.

4. Who we share it with

We use a small number of processors to run the service, each only for the specific job listed: Stripe (subscription payments), Resend (sending invoice, quote, and account emails), Cloudflare (file storage, e.g. expense receipts), Vercel (hosting), and Neon (database hosting). We don't sell your data, and we don't share it with anyone else for marketing purposes.

5. Cookies

We use one essential cookie to keep you signed in. We don't use advertising or third-party tracking cookies.

6. How long we keep it

We keep your account and business data for as long as your account is active, and for a reasonable period afterwards in case you return or as required for our own tax/accounting obligations. You can ask us to delete your account and data at any time (see your rights below).

7. Your rights

Under UK GDPR, you can ask us to: give you a copy of your data, correct anything inaccurate, delete your data, or export it in a portable format. Email nexorasalessupport@gmail.com and we'll action it. You can also complain to the UK Information Commissioner's Office (ico.org.uk) if you think we've handled your data wrongly.

8. Children

Billex is a business tool and isn't intended for anyone under 18.

9. Changes

If we make material changes to this policy, we'll update the date at the top of this page.
